Terms of Service

Booking Terms & Conditions

These Terms of Service govern your booking and participation in tours operated by Ruby Asia Travel & Tours. By making a booking, you agree to be bound by these terms.

Please read these terms carefully before confirming your reservation. We recommend saving or printing a copy for your reference.

Booking & Payments

  • Reservations: All bookings require a 30% deposit to confirm. Full payment is due 30 days before tour commencement.
  • Payment Methods: We accept credit cards (Visa/Mastercard), bank transfers, and approved online payment systems.
  • Last-Minute Bookings: For bookings made within 14 days of departure, full payment is required immediately.
  • Price Guarantee: Prices are guaranteed once full payment is received, except for government tax changes or force majeure events.

Cancellations & Refunds

Cancellation by Client

  • 60+ days before departure: 90% refund
  • 30-59 days before departure: 50% refund
  • 15-29 days before departure: 25% refund
  • 0-14 days before departure: No refund

* Refunds exclude non-refundable fees (permits, tickets, etc.)

Cancellation by Us

  • Full refund if we cancel for operational reasons
  • Alternative dates offered for force majeure events
  • No liability for incidental expenses (flights, visas, etc.)

* We reserve the right to modify itineraries for safety/operational reasons

Tour Participation

  • Health Requirements: Clients must disclose any medical conditions or disabilities affecting participation.
  • Travel Insurance: Comprehensive travel insurance is mandatory for all tours.
  • Behavior: We may terminate participation for dangerous/unlawful behavior without refund.
  • Itinerary Changes: Guides may modify activities due to weather/safety concerns.

Liability

  • We are not liable for personal injury/death unless caused by our negligence
  • No liability for loss/damage to personal belongings
  • Clients are responsible for obtaining required visas/vaccinations
  • Maximum liability limited to tour price paid

Special Requirements

  • Dietary restrictions must be notified at least 14 days in advance
  • Accessibility requirements should be discussed before booking
  • Child policies vary by tour - please inquire
  • Special requests are not guaranteed but well make reasonable efforts

General Terms

  • •Disputes will be settled in Colombo courts
