Taxi Service Agreement

Important Notice: By booking any taxi or private vehicle hire service with Ruby Asia Travel & Tours, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. Please read this document carefully before making any reservation.

1. Service Definitions

“Taxi Service” means any transportation service provided by Ruby Asia Travel & Tours using licensed vehicles and professional drivers.
“Client” means the person making the booking and all passengers included in the transportation service.
“Airport Transfer” means transportation between airports and specified destinations with complimentary waiting time.
“Luxury Vehicle” means premium category vehicles requiring advance booking and prepayment.

2. Booking and Pricing

2.1 Pricing Structure

Standard Rates:
  • • All prices quoted in LKR/USD including GST
  • • Airport parking fees included for transfers
  • • Night surcharge: 20% (10pm-5am)
Payment Methods:
  • • Cash (LKR/USD) accepted in-vehicle
  • • Credit card payments available
  • • Online prepayment required for luxury vehicles

2.2 Waiting Time Policy

  • Complimentary 45 minutes wait at airport after flight landing
  • Additional waiting charged at LKR 500 per 15-minute block
  • Toll fees and non-airport parking are client responsibility

3. Cancellation Policy

4. Passenger Responsibilities

4.1 Booking Requirements

  • Provide accurate pickup and destination details
  • Supply valid contact number for driver communication
  • Ensure children use appropriate car seats (available on request)

4.2 Vehicle Care

  • • No smoking in vehicles - LKR 5,000 cleaning fee applies
  • • Damage to vehicle interiors will incur repair charges
  • • Maximum luggage: 2 suitcases + 2 hand luggage per sedan

5. Driver Protocols

5.1 Driver Standards

  • All drivers are licensed and background-checked
  • Standard working hours: maximum 12 hours per day
  • Will assist with reasonable luggage handling
  • Can refuse transport if safety concerns exist

5.2 Service Limitations

For chauffeur services exceeding 8 hours per day, additional rest periods apply as per Sri Lankan transport regulations.

6. Liability and Insurance

6.1 Limitation of Liability

The Company's liability is limited to the total amount paid for the taxi service. We are not liable for delays due to traffic, weather conditions, or circumstances beyond our control.

6.2 Insurance Coverage

  • All vehicles maintain comprehensive insurance coverage
  • Personal belongings are passenger's responsibility
  • Report any incidents immediately to authorities and company

7. Special Circumstances

7.1 Flight Delays

We monitor flights automatically for airport pickups and adjust pickup times accordingly at no extra charge.

7.2 Emergency Situations

  • Medical emergencies: Drivers will assist getting to nearest hospital
  • Vehicle breakdown: Immediate replacement vehicle arranged
  • Route changes: Additional distance charged at standard rates

8. General Provisions

8.1 Price Changes

Prices may change due to fuel price fluctuations with reasonable notice provided to clients.

8.2 Complaints Procedure

All complaints must be submitted within 24 hours of service completion for proper investigation.

8.3 Governing Law

These terms are governed by Sri Lankan transport laws and regulations.
